Who we’re looking for:

An Executive Team assistant who is highly organised and can provide administrative support for the FleetPartners Executive Leadership Team with diary management, document preparation and general ad hoc requests. This role is also responsible for general office management tasks and internal event coordination.

This is a permanent full-time position, however as we require immediate support in this role we are also currently running a separate advertisement as a short-term contract.

What you’ll be doing:

Provide support to the Executive Leadership Team (ELT)

  • Provide direct day-to-day support to ELT including but not limited to diary and email management, document preparation and event coordination.
  • Organise and manage Executive Team meetings, special events and actions logs.
  • Assist in the preparation of reports, memos, letters and other documents, using word processing, spreadsheet, database or presentation software.
  • Conduct checks of documents and submissions to ensure accuracy and quality presentation.
  • Liaise with the business and external parties on behalf of ELT.
  • Build relationships within the business & external parties.
  • Co-ordinate travel.
  • Expense reconciliation.

Office Management

  • Oversee general office management in conjunction with the Charter Hall Team and external suppliers.
  • Streamline office procurement in alignment with internal policies and commitments.
  • Assist the Group with event and employee initiative coordination.

We’re looking for someone who’s…

  • Advanced proficiency in MS Office Suite: PowerPoint, Excel, Word and Outlook.
  • Exceptional written and oral communication skills
  • Experience as an Executive Assistant and/or in Office Management and Procurement.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively
  • Strong attention to detail and accuracy in work
  • Discretion and professionalism in handling confidential information.
  • Adaptability and flexibility to respond to changing priorities and deadlines
  • Knowledge of diary management, corporate travel, office administration and facilities management.
