What you’ll do...

We’re looking for a Rev-Ops CRM Specialist who is experienced in CRM systems, ideally Pipedrive and passionate about optimizing systems to enhance team performance. In this role, you’ll support our EdTech sales team by ensuring that Pipedrive is properly managed, data is accurate, and the system operates smoothly to help the team reach its goals.

This position is focused on supporting the team’s efficiency and helping improve day-to-day operations by ensuring the CRM system runs smoothly.

The initial job duties the Employee will be expected to perform as the Rev Ops-CRM Specialist will be the following:

  • Maintain the Pipedrive CRM by ensuring up-to-date data is organized and aligned with the company’s sales processes. Configure and customize the CRM based on the sales team’s needs and company growth objectives, following company guidelines.
  • Manage CRM for the company
  • Responsibility for ingestion of contact lists into PipeDrive 
  • Process mapping of the CRM based on best practices and sales procedures 
  • CRM mapping experience would be desired 
  • Demonstrable ability to fully plan, implement, and evaluate projects
  • Analyzing sales performance data to identify areas for improvement and make data-driven decisions quickly
  • Track deals and activities within the sales pipeline to ensure accuracy and efficiency. Ensure that all stages and tasks are properly categorized and in accordance with the sales process.
  • Oversee existing automated workflows to boost sales productivity and reduce manual tasks. Optimize processes related to lead generation, follow-ups, deal progression, and post-sale activities.
  • Ensure the CRM data is accurate and up to standard. Create custom reports and dashboards that give insights into sales performance, lead conversions, and deal metrics. Regularly audit data to ensure it complies with governance standards.
  • Provide ongoing training to sales team members on best practices and Pipedrive features. Assist with technical support for troubleshooting issues and responding to user questions. Collaborate with sales leadership to develop training materials and user guides.
  • Work with sales leadership, marketing, and customer success teams to maintain smooth data flow across departments and ensure alignment of goals and activities.
  • Collaborate with IT and operations to integrate Pipedrive with other tools and platforms, including email marketing systems and customer support tools.
  • Continuously evaluate sales workflows to identify bottlenecks or inefficiencies. Recommend and implement enhancements using Pipedrive functionalities to help the team work smarter.
  • Keep up with the latest Pipedrive features and updates, ensuring the team implements and uses new functionalities.
  • Analyze sales data within Pipedrive, providing actionable insights on KPIs, trends, and potential areas for improvement. Share findings with the sales leadership team to support informed decision-making.
  • Ensure Pipedrive usage adheres to data privacy regulations such as GDPR. Follow security best practices for managing sensitive customer information.

What you’ll bring…

  • Proven experience (3+ years) as a Pipedrive/CRM specialist in a fast-paced, high-growth environment, preferably in EdTech or SaaS.
  • Strong understanding of sales processes, CRM best practices, and pipeline management to support sales teams effectively.
  • Hands-on experience with automating workflows and creating custom reports and dashboards within Pipedrive.
  • Have an intermediate background in coding experience (Python/Ruby)
  • Be able to manage a production database (database administrator (DBA)
  • Familiarity with data governance and privacy regulations (e.g., GDPR, CCPA) to ensure compliance and data security.
  • Excellent analytical and problem-solving skills, focusing on optimizing CRM processes and ensuring data integrity.
  • Strong communication skills with the ability to train, support, and coach a diverse sales team using Pipedrive.
  • Experience integrating Pipedrive with related tools (e.g., Zapier, Google Workspace, Slack) and utilizing APIs for seamless functionality.
  • Ability to collaborate with cross-functional teams, including sales, marketing, customer success, and IT.
  • Proficiency in analyzing sales metrics and providing actionable insights through CRM reporting.
